Commercial haulage & fleet management
Truckana — Move. Track. Profit.

Privacy

How Truckana handles personal data. Last updated 16 October 2026. Zimbabwe's Cyber and Data Protection Act applies.

Who this covers

Truckana is a fleet operations and finance tool used by a haulage company and the people that company invites: admins, dispatch, finance and drivers. Each company sees only its own records.

What is stored

Depending on your role, the account holds:

  • Sign-in email, name, phone, role, and optional multi-factor sign-in.
  • Driver name, phone, licence number, and licence expiry.
  • Customer and contact details used on quotations and invoices.
  • Trips, routes, mileage, odometer readings, cargo, and tollgates.
  • Fuel, expenses, receipts, and waybill photographs in a private file store.
  • Breakdown reports: what was repaired, who fixed it, where, the cost, and a contact number.
  • Vehicle purchase, income, maintenance, parts, and fuel, used for vehicle accounts.
  • Invoices, credit notes, payments, bank statement lines, payroll, advances, and the rates used to price a trip.
  • Whether a driver confirmed or returned a pay statement.
  • Profit withdrawals and tax payments the company chooses to record.
  • Subscription details for a new company: payment reference, phone, email, and note, visible to the site admin.
  • WhatsApp messages, where the company turns that channel on.
  • An audit log of sensitive changes, and sign-in security events.

Why

The data is used to run trips, price them, invoice customers, pay drivers, track vehicle maintenance, match money to the bank, and show growth, tax set-aside, targets, and other management charts. Charts and PDF downloads are produced from the company's own records. They stay inside the company account.

Who can see it

Access follows the role. Drivers see their own trips, pricing, breakdowns, and pay statements. Dispatch sees operations. Finance sees money. Admins see the company, including growth, targets, and user management. The site admin sees company access and the subscription note, and does not replace the company admin for day-to-day records. Truckana does not sell this data. A company admin can invite people. Signing a login or a company off keeps the records and closes sign-in.

Keeping and deleting records

Ask the admin of your company if you want a record corrected or deleted. Platform operators keep backups for recovery, then drop them on a schedule. Receipts and documents stay in a private store, not a public folder.

Contact

For a privacy request, contact the administrator of your company. The company email and phone on Company details are the operational contacts printed on quotations and invoices.
